We follow a structured 5-step deployment plan to ensure a smooth transition:
1. Governance: Appoint your “Subscriber Admin” (the internal super-user) and we will create you as Subscriber on the system.
2. Configuration: We provide online training for your Subscriber Admin to assist with Team planning and User setup. Your Subscriber Admin is also the subject matter expert to assist us to configure the system for your environment, e.g. document stacks, role-players and workflows.
3. User Training: We, assisted by your Subscriber Admin, conduct the initial training session for your first batch of users.
4. Launch: Your system goes live.
5. Post-Launch Support: We adopt a “Train-the-Trainer” approach. Once your initial team is established, your Admin will be empowered to onboard future staff using your own internal protocols. You will also have a direct support person on our side for assistance.
No. JustXhale is a fully cloud-based Platform-as-a-Service (PaaS) solution. You can access it securely from any device (PC, Mac, Android) with a modern web browser. We handle all server maintenance, backups, and security updates.
Note: Due to the extensive contextual information displayed on screen, the system is not ideal for use on mobile devices. The application is however fully responsive to smaller screens.
We handle the move in two logical parts to make sure you don’t lose any work or break your current flow.
1. The Essentials (Bulk Import): We help you bulk-import your core data. This includes all your active case files, the people involved (executors, clients, attorneys, beneficiaries) and your important reference numbers. We’ll assist with the data mapping to make sure everything from your current spreadsheets lands in the right place in the new system.
2. The History (Organic Approach): We don’t import old notes or historical reminders. Every administrator has their own way of keeping “loose” notes, and trying to force that messy history into a rigid import format correctly against time, is usually a logistical nightmare that leads to more errors than it’s worth. Instead, we use an organic approach. You only bring the history across for an existing case when it actually hits a trigger – like a new milestone or a reminder coming due. This keeps your data clean and allows your team to get used to the system naturally, without the stress of a painful “big bang” cut-over day.
Billing and Cancellation
Unlike traditional software that charges per user seat, JustXhale uses an “Active Case File” billing model most often.
Unlimited Users: We do not charge for user licenses. You can add your entire admin team, partners, and junior clerks without increasing your monthly cost. This prevents bottlenecks where work waits for a “licensed user.”
Pay-Per-File: You are billed a pro-rata monthly fee only for the Case Files currently active on the system. This is calculated from the date it got registered to the date it is completed based on the number of days in the month. This allows you to get full advantage of the efficiency of your teams.
Incentive Alignment: This model aligns our incentives with yours. Since holding a Case File open costs money, the system drives you to finalize files faster.
Billing date: The monthly billing run is on the 26th of each month for the Case File status on the 25th. The invoices go out on the 26th for payment on the 1st of the next month.
Note: Due to varying document processing lifecycles and the intensity thereof, JustXhale keeps the options open to apply alternative payment models and is also open to negotiations in this regard. It will most often be tied to data flow rather than bums in seats.
You own the data. In the event of contract termination, we provide a “30-day Grace Period” during which you can export your complete Estate History, Notes, and Reminder logs in a standard, machine-readable format (CSV). We do not hold client data for ransom.
Yes. Because JustXhale is billed per active Case File, most firms treat the subscription as a recoverable administration disbursement rather than an overhead. This effectively makes the system ‘cost-neutral’ for your business.

Scalability: For Sole Operators, the system scales down perfectly. You occupy both the ‘Subscriber Admin’ and ‘User’ roles, giving you enterprise-grade DPM tools without the overhead of a large team.
Yes, JustXhale is designed to solve the “Single Point of Failure” problem by assigning Case Files to Teams rather than individuals. To prevent duplicate updates, a file is “locked” on the index and reminder tables while a team member has it open. This team-based approach ensures that any authorized member can see the history notes and pick up the baton where a colleague left off, maintaining seamless continuity during leave or staff turnover.
No, JustXhale does not cap your storage – we focus on the integrity of the Case File whether it requires 3 documents or 300. To ensure your workspace remains “lightning-fast,” especially on mobile devices or during remote meetings, we recommend uploading optimized PDFs (typically 150-300 dpi). This ensures your documents open instantly regardless of your internet connection.
You can use the built-in Reference Library to link to large statutory documents (like SARS or CIPC Acts) without the lag of a large file upload. This library stores direct links to internal servers or external web links (e.g., the Master’s Office). You get the information you need instantly without slowing down your Case File storage.

JustXhale provides a two-tiered reporting structure that transforms raw data into actionable oversight for both the file handler and the manager:
Case-Level Granularity: View a real-time activity analysis of any specific file, with options to export a full CSV timeline of reference numbers and case notes for detailed audits.
Firm-Level Oversight: Admins can access a global summary of all Active Case Files to visualize the workflow of the entire book. This allows you to identify “stalled files” or capacity bottlenecks at a glance.

Document uploading is optional; JustXhale is flexible enough to be used as a checklist-only tool or a full document handler. You have three choices for handling documents:
Checklist Only: Track the “validity” and “presence” of documents (e.g., verifying a Proof of Account is less than 3 months old) without uploading the file.
Manual Upload: Upload documents directly when received via email or scanning.
Secure Magic-Link: Request documents from external parties via a secure link so they upload them directly into the System for your validation.
Regardless of your choice, the application remains responsive due to our South African-based CMS server.
The Hub is the central coordination center designed to manage the external dependencies—like banks, SARS, and clients—that you don’t control but are vital to your workflow.
